HR Assistant

Job Summary

The HR / Admin Assistant is primarily responsible in providing support in all HR & Admin works. Specially in maintaining and updating HR & Admin files, monitoring employees benefits such as but not limited to mandates, loans, leaves, insurance, etc. Also, in matters concerning on-call workers specially payroll and salary distribution.

Responsibilities / Duties

  • Maintain computer system by updating and entering data for HR/Admin Files.
  • Maintain calendars of HR/Admin Management Team
  • Compile and update employee’s records (hard & soft copies)
  • Conduct initial orientation to newly hired employees
  • Coordinate communication with candidates and schedule interviews to HR Supervisor
  • Post job ads and organize resume and job applications
  • Ensures background and reference checks are completed
  • Oversees the completion of compensation and benefits documentation
  • Assist in timekeeping preparation by providing relevant data (absences, leaves, leave credit)
  • Update data base for the monitoring of sick leave and annual leave
  • Maintain current HR files and database
  • Update and maintain employees benefit and employment status
  • Maintain records related to grievances, performance reviews and disciplinary actions
  • Perform file audits to ensure that all required employee documentation is collected and maintained
  • Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training and seminars, grievances, performance evaluations) to be submitted to HR Supervisor
  • Coordinate HR & Admin projects (meetings, training and surveys) and the minutes
  • Assists employee requests regarding human resources issues, rules and regulations
  • Complete termination paperwork and assisting with exists interviews.
  • Preparation of statutory contributions report for regular and on-call employees. (SSS, PHIC, HDMF)
  • Assist employees in statutory loans application and Regis.
  • Monitor the service vehicle registrations.
  • Monitor life and health insurance renewals.
  • Assist in the preparation and release of payroll to the on-call employees.
  • First line of support for employees’ concern (i.e., on-call employees’ payroll)

Qualifications

  • Female
  • Graduate of any 4 years course
  • Must have at least 2-3 years’ experience related to the job
  • Experience in SAP will be an advantage
  • With good moral character
  • With good communication skills
  • Can work under pressure and less supervision
  • Willing to render overtime if needed

Accounting Assistant

Job Summary

The Accounting Assistant is primarily responsible in providing financial information by maintaining, reconciling accounts and preparing reports. The position should adhere to accurate application of Philippine Accounting Standards to analyze, process and record financial information concerning company’s business activities.

Responsibilities / Duties

  • Ensures the timely and accurate posting, balancing, and reconciliation of the general and accounts payable ledger
  • Prepares work papers and various internal reports for Accounting Department and Management
  • Works with Comptroller to ensure compliance with financial reporting and statutory requirements
  • Assists Management with budget activity, proper expenditures coding, document preparation and other accounting related activities
  • Administers ledgers and process payment to internal customers and vendors
  • Maintains accounting ledgers by verifying and posting accounts transactions
  • Compiles and analyses financial information to support preparation of financial statements including monthly and annual accounts
  • Ensures that financial records are maintained in compliance with generally accepted principles, policies and procedures
  • Supports compliance in all financial reporting and statutory deadlines
  • Participates in timely monthly and year end close books of accounts
  • Monitors and supports taxation issues
  • Maintains financial database
  • Assists in financial audit preparation
  • Ensures accurate and appropriate recording and analysis of expenses
  • Analyzes financial information to recommend or develop efficient use of resources and procedures
  • Protects organization’s value by keeping information confidential
  • Updates job knowledge by participating in educational opportunities
  • Accomplishes accounting and organization undertakings by completing related results as needed

Qualifications

  • Male / Female
  • Graduate of BS Accountancy
  • Must have at least 2-3 years’ experience related to general accounting functions
  • Experience in SAP will be an advantage
  • With good moral character
  • With good communication skills
  • Can handle multi-tasking
